  • AGENDA: President’s Report; Treasurer’s Report, Amendment of Club Constitution, and Election of Office Bearers.

Any candidate standing for election as an Office Bearer (President, Vice President, Secretary or Treasurer) must be a current DWCA member who has held membership for a minimum period of five years, including at least one year immediately prior to the election. Additionally, they should be able to attend regular committee meetings and demonstrate an ongoing commitment to the club.

To nominate for an Office Bearer position, download the form below and fill in the following information:

  • the name of the nominee;
  • the address of the nominee;
  • the Club member number of the nominee;
  • a statement that the member wishes to nominate for a specific Office Bearer position (a person can only nominate for one position in any election);
  • the signature of the nominee;
  • the date of the nomination; and
  • the signature and the Club member numbers of two members endorsing the nomination. If you can’t get those 2 members, please contact us with your phone number and we can endorse it for you.

Eligible nominees will be notified by the Returning Officer once nominations are closed and invited to submit a statement to be provided to members in support of their nomination.

Additionally, the following amendments are proposed for the Club’s constitution. You may cast your vote on the day of the AGM or submit a vote for each proposal to the returning officer:

Proposal 1: That 14.1 be changed from
14.1 Committee Membership
(1) The committee is to consist of:
a) the Office Bearers of the association, and
b) at least three ordinary committee members.

Proposal 2: That 15.1 be changed from
15.1 Election of Office Bearers
(1) Candidates standing for election as an Office Bearer must be current Club members, that membership being held for a minimum continuous period of 5 years prior to the election. This period is considered to be a requisite demonstration of an ongoing commitment to the Club.
(2) Nominations of candidates for election as Office-Bearers of the association must be made in writing, signed by two members of the association and accompanied by the written consent of the candidate (which may be endorsed on the form of the nomination), and
a) must be delivered to the secretary of the association at least 30 days before the date fixed for the holding of the annual general meeting at which the election is to take place.
b) names of candidates will be published no later than 14 days prior to the date fixed for the holding of the annual general meeting at which the election is to take place.

(1) New Committee Members will be required from time to time. They:
a) Must be current Club members, that membership being held for a minimum continuous period of 2 years prior to the election.
b) Must be nominated and seconded by either a committee member or an Office Bearer.
c) Must be appointed by
a. The majority of Office Bearers.
b. The majority of Committee.
d) May only be appointed by the Office Bearers.
Proposal 5: That 22.1 be changed from
22.1 Web Voting procedures
From time to time it may be necessary to seek general club approval for actions the committee wish to take. Under these conditions, the desired course of action will be posted on the Club web site. Approval/ disapproval and comments, will be sought from full members only via Web counter and email. An approval rate of 75% or more will effectively allow the action to be taken.
